Singleton Reynolds is currently looking for an experienced Legal Administrative Assistant – Floater to join our Corporate Commercial & Commercial Real Estate and Lending departments within the Vancouver office. The position requires 3 to 5 years’ experience. The successful candidate will work closely with a professional team of Lawyers and Paralegals. You will float between the two departments and will be responsible for a wide array of legal administrative tasks.
THE ROLE
- Provides clear, concise and complete oral and written information;
- Drafts correspondence and legal documents and assists with due diligence;
- Maintains all administrative functions, including file opening/closing procedures, maintains the calendar, books appointments, manages bring forwards and reviews and prepares invoices;
- Performs complex editing and formatting of documents for various correspondence, reports, forms, spreadsheets and databases;
- Processes and manages a high volume of paper and electronic documents and files to support the busy practices;
- Manages files from the beginning to the end of transactions, including the purchase, sale and financing of commercial properties;
- Oversees internal processes relating to the requisition of mortgage and purchase closing proceeds in conjunction with the Firm’s accounting department;
- Responsible for the preparation of a large number of monthly invoices, including making detailed narrative revisions;
- Manages work volume and juggling priorities while supporting a demanding practice;
- Ensures deadlines are met;
- Manages and maintains contact and referral lists;
- Sorts incoming mail and preparation of outgoing mail; and
- Performs other related duties as required.
KEY QUALIFICATIONS & EXPERIENCE
- 3-5 years of experience working as a legal administrative assistant within a solicitor’s practice (Commercial Real Estate or Corporate Commercial preferred but not required).
- Legal Administrative Assistant Certificate from an accredited program.
- Superior organizational/document management skills with a strong attention to detail.
- Exceptional aptitude for software and systems.
- Advanced knowledge of database management.
- Computer knowledge including: MS Word, MS Excel, MS Teams, Workshare Compare, Outlook, Document Management, Internet, Case Management Software, and Time tracker software.
- Familiarity with BC Online.
